Conference Call Etiquette

  • These calls are moderated, with specific times for very compact sharing opportunities by call participants. If you join a call in-progress while someone else is speaking, please announce yourself only if you are asked to do so by the active call moderator, as we don’t want any of the speakers to be interrupted midstream by callers announcing themselves.
  • It is very important that you make these calls in a quiet place, and helpful if you utilize the ‘mute’ feature unless you are asked to announce yourself or share your impressions during the call, as all background noises in your environment will be heard by other call participants. The call quality is greatly improved when all participants except the scheduled speakers mute themselves out. The mute feature is accessed by pressing *6 on your telephone dial pad. If you need to share something during the call, un-mute yourself by pressing *6 again. The *6 acts as a mute toggle switch.
  • If you are sharing during a call and you hear a ‘ding’ sound, it means someone else has either just joined in or disconnected from the call. When the ding sound occurs, whatever you were saying on the call at that moment will not be audible to anyone, so it is helpful to repeat the last two or three words you said when the ‘ding’ sound occurred.
  • And finally, due to the limited amount of time for a large number of participants, opportunities do not exist to engage in back-and-forth discussions of topics on these calls. If you have any questions about matters discussed during the call, kindly hold your questions and contact the Sponsoring Organization after the call is completed.
